User manual

A guide to the daily use of Laundrix, organised by role. People only see the menu items their role allows, so your menu may be shorter than the one described here.

Signing in and your account

  • On the sign-in page choose your company from the list, then enter your email and password. If your company is not listed, choose “My company isn’t listed…” and type your company code.
  • The eye icon in the password box shows or hides what you type.
  • Forgot your password? Use the link under the password box, choose your company, enter your email, and follow the emailed link (valid for one hour, works once). If email is not set up, ask your company administrator to reset it from Staff.
  • Too many wrong passwords lock the account for a while; the message is deliberately generic.
  • Change your own password in Settings → Company. You enter the current password, the new one and a confirmation.
  • Your name and role are in the top-right menu, with Sign out. The New button next to it offers the quick actions your role is allowed to use.
  • The left menu groups pages into Operations, Customers, Pickup & delivery, Stock & assets, Finance, Insight and Company. Click a group title to fold it.
  • The search box at the top finds orders, garments, customers and invoices.
  • Needs attention (the bell) lists what is late or at risk, most urgent first, each with a button to act.
  • Most list pages open with summary tiles; click a tile or a filter chip to narrow the list.

Front desk

Take an order

  1. Open New order (POS). Search for the customer or add a new one.
  2. Pick a service tab, then tap garments to add them. The total is calculated by the server as you go.
  3. Choose the priority (rush tiers add a configured surcharge) and, if needed, pickup or delivery.
  4. Apply a discount if allowed. Above your company’s threshold a manager’s approval is required and the screen tells you so.
  5. Choose Create order, or tick Take payment now and choose Create order & take payment.

Tags, payments and hand-over

  • On the order page open the tags page, print one tag per garment and choose Mark tags as printed. Attach each tag to its garment.
  • Record payment takes cash, transfer or card-terminal payments. Pay online (card / bank) sends the customer through Paystack; the order shows as paid only after the server confirms it.
  • When all garments are ready, choose Hand over to customer. For delivery orders the driver completes the job instead.
  • Create invoice issues an invoice for account customers; receipts are PDFs with your logo.

After hand-over

  • Create rewash order makes a no-charge linked order for chosen garments the customer brought back.
  • Mark as returned records a return. Refunds are a separate action, Issue refund, so they are always explicit.

Production staff

  • Scan: scan a garment’s tag (USB or Bluetooth scanner, phone camera on HTTPS, or type the code) to open it and move it to the next stage. Scans made offline are queued and sent when the connection returns.
  • Production: your queue, urgent and late first. Start, Pause and Complete move a garment along. Mark issue flags a problem for a manager. A garment cannot leave intake until it has an inspection record.
  • Inspection: on a garment’s page choose Save inspection after noting stains, tears, missing buttons, broken zips and colour-bleed risk. This protects you if a customer later disputes damage.
  • Workstations: managers see live load per workstation to spot bottlenecks.

Quality control

  • Open Quality control to see garments waiting. Tick every checklist item that passes, choose a result and select Record result.
  • Passed needs every item ticked. Rework required or Failed sends the garment back to the stage you choose (or an automatic one) and counts toward the rework rate.
  • Damage, lost items and complaints are recorded under Damage & lost items. They are investigated and resolved, never deleted.

Dispatch and drivers

  • Dispatch shows jobs in columns: needs a driver, assigned, on the road, failed. Assign or reassign a driver, reschedule, or choose Received at branch for picked-up items.
  • My jobs (drivers) lists today’s pickups and deliveries. Delivery is confirmed with the customer’s one-time code and a signature, and works through short connection drops.

Managers and owners

  • Dashboard: orders today, awaiting intake, garments in process, overdue, ready for pickup, revenue, outstanding balances and insights computed from your real data. “—” means there is not enough data yet.
  • Analytics and Reports: turnaround, on-time rate, rewash and loss rates, branch comparison; reports export to CSV, Excel or PDF.
  • Staff: create accounts, assign roles and branches, reset passwords, disable accounts. You can only grant permissions you hold.
  • Settings: Company (profile, logo, whether you appear on the sign-in list), Branches, Services, Pricing, Workflows, Operations, Roles, Integrations (Paystack, API keys, webhooks) and Billing (plan and subscription).
  • Inventory, Equipment, Expenses: stock movements with reorder alerts, maintenance schedules, and expenses approved by someone other than the person who recorded them.
  • Audit log: who did what and when, with before and after values.
Set up once, then it runs
In Settings → Services and Pricing define what you sell and at what price, in Workflows define the stages, and in Operations choose rules such as whether tags must be printed before production. Nothing is hard-coded.
